Consultant invoice template
For consultants, coaches and advisors who bill hourly, by session, or on a monthly retainer.
Opens the invoice editor with starter line items. Enter your own rates, then download the PDF.
Use the consultant templateWhat to include
- Your name or firm and contact details
- The client and the contact person or department to bill
- Invoice number, invoice date and due date
- The service period, the hours or sessions and your rate
- Reimbursable expenses, if your agreement allows them
- Payment terms and how to pay
Tips
- Add the client's purchase order (PO) number in the PO field — many companies won't pay an invoice without it.
- For retainers, use one line such as “Monthly retainer — October 2026”.
- List expenses at cost on their own lines and keep the receipts in case the client asks for them.
How to fill it in
- Open the template and add your business name, contact details and (optionally) your logo. They're remembered on this device for next time.
- Add your client's name and address, or pick a saved client.
- Edit the starter line items, enter quantities and rates, and set tax, discount or shipping if they apply.
- Choose payment terms (for example Net 30) and add payment instructions in Notes.
- Download the PDF and send it to your client from your own email.
