Use the freelancer templateWhat to include
- Your name or business name and contact details
- Your client's name and billing address
- A unique invoice number and the invoice date
- What you delivered — the project, milestone or the hours worked and your hourly rate
- The total, the due date and your payment terms
- How to pay you (bank transfer details, a payment link or other accepted methods)
Tips
- Describe deliverables in the client's words (for example the project name on the purchase order) so the invoice is easy to approve.
- For hourly work, put hours in Qty and your hourly rate in Rate; add a short date range in the description.
- If the client paid a deposit, enter it under “Amount paid / deposit” so the balance due is correct.
- Only add late fees if your contract allows them and they are permitted where you work.
- US clients often ask independent contractors for IRS Form W-9 so they can report payments. It is a separate form, not part of the invoice.
How to fill it in
- Open the template and add your business name, contact details and (optionally) your logo. They're remembered on this device for next time.
- Add your client's name and address, or pick a saved client.
- Edit the starter line items, enter quantities and rates, and set tax, discount or shipping if they apply.
- Choose payment terms (for example Net 30) and add payment instructions in Notes.
- Download the PDF and send it to your client from your own email.
